Support is never an island. What happens in a conversation has to continue somewhere else, and the other way round.

  1. The handover fizzles out.

    The AI handed a conversation to the team. But the team lives in Slack, not in the inbox. Until somebody checks, the customer waits an hour.

    Every complaint is solved in chat and then gone. At the end of the month management wants to know how many there were and why. Nobody counted.

Three Zaps that help right away

What merchants build first.

Every Zap is a trigger plus one or more actions. These three take ten minutes each to set up and then run on their own.

  1. Handover → Slack or Teams

    As soon as the AI hands a conversation to the team, the summary with issue, order and mood appears in the support channel. Whoever clicks first has it.

  2. Tag “complaint” → Google Sheets or Trello

    When your team sets the tag, a row with customer, order and reason lands in the sheet or a card in the board. The monthly report writes itself.

  3. New order in Shopify or Stripe → email to the customer

    Zapier reports the order, Talkward sends the confirmation or a thank-you by email. If the customer replies, the conversation is already open. WhatsApp works when they wrote within the last 24 hours.

Set up in four steps.

Zapier is included from Professional. You need a Zapier account; the rest you click together. Zapier processes data in the USA, so you sign your own data processing agreement with Zapier; Talkward keeps storing in Nuremberg.

  1. Create a key

    In Talkward under Settings › Extensions › Zapier, enable the extension and create an API key. It starts with tw_ and is shown only once.

  2. Connect Talkward in Zapier

    On the setup page click “Open in Zapier”: the link unlocks the Talkward app in your Zapier account. Paste the key there, Zapier checks the connection right away.

  3. Build the Zap

    Pick a trigger, such as “Conversation Handed Over to Team”, then the action in the other app, such as “Send Channel Message” in Slack. Map fields by clicking.

  4. Test and switch on

    Zapier shows a real example from your inbox. If it fits, switch the Zap on. From now on it runs on every event.

Which triggers and actions are there?

Seven triggers: new customer message, sent message, new conversation, handover to the team, closed, assignment, tag. Eight actions: message in a conversation, new message to a contact by email or WhatsApp, note, status, assignment, tags, fields, update contact. Plus a search for the conversation of an email address.

Do I need a developer?

No. You create an API key in Talkward, paste it into Zapier and click triggers and actions together. Zapier shows you real examples from your inbox while building.

How fast does Zapier react?

Instantly. Talkward pushes to Zapier the moment the event happens instead of polling on a schedule. Deliveries are signed so nobody can fake events.

Can I send messages to customers from other apps?

Yes. The action “Send New Message to Contact” sends an email to an address, for example after an order in Shopify or a payment in Stripe. Via WhatsApp free text only works when the customer wrote within the last 24 hours; Zapier does not send templates. If the customer replies, it lands in the inbox.

What does the Zapier integration cost?

Nothing extra at Talkward, included from Professional. Your Zapier account is billed by Zapier at its own rates. Prefer Make or n8n? Both are available as extensions too.

Where does Zapier process the data?

Zapier processes the data of your Zaps in the USA. For that you sign your own data processing agreement with Zapier. Talkward itself keeps storing on servers in Nuremberg. If you want to keep data in-house, use n8n on your own server.
